Note. The following job descriptions are not fully inclusive and are offered as a guide to aid post holders in the better performance and understanding of their role within the Club. Other tasks may be required to be undertaken from time to time, to ensure the functions of the post and aims and objectives of the Club are up to date, and being achieved effectively and in an efficient manner.

CHAIRMAN

The Chairman shall: -

· Be responsible for the Committee in managing the affairs of the club.
· Take the chair at Committee Meetings.
· Guide the course of the Committee's deliberations towards fulfilling its avowed aims.
· Liase with the Secretary on the Agenda for each Meeting and to approve the Minutes before they are circulated.
· Be completely familiar with the Club Constitution, as well as that of the FA and its Bylaws, the general rules for committee procedure, current affairs and any business in hand.
· Co-ordinate the work of all the Officers.
· Be responsible, in conjunction with the Secretary, for the presentation of the Annual Report.
· If unable to attend any Committee Meeting, a written report should be sent with apologies to the Meetings Secretary.
· No policy decisions may be taken until approval is received from the whole committee.

VICE CHAIRMAN

The Vice-Chairman shall: -

· Take the chair at Committee Meetings when the Chairman is unable to attend and also at times when the Chairman wishes to speak and take part in discussion.
· Support the Chairman and undertake whatever part of the Chairman's work is assigned to her/him.

CLUB SECRETARY

The Secretary shall: -

· Liase with the Chairman and other Club Staff as and when appropriate.
· Circulate any relevant information received from the League & Football Association to Members of the Committee where necessary.
· Act as main contact for the Club.
· Distribute any Club / League / FA Handbooks to Club Staff, Members and other appropriate people.
· Deal with any enquiries and necessary correspondence and notify the League/FA of any changes that are required within the relevant handbooks.
· Keep the Club's terms of reference up to date.
· If unable to attend any FA/League meetings, arrange for substitute or correspondence to be sent to the Chairman.
· Produce a report to the Committee, if unable to attend, send a written report with apologies to the Meetings Secretary.
· Liase with the Child Welfare Administrator & Senior Coach in order to maintain a record of all Club Staff and Member details.
· Ensure all relevant information received by the Club is forwarded with appropriate haste to relevant members of Club Staff.
· Undertake the duties of the Meetings Secretary in the absence of an appointment to that post.

CHILD WELFARE ADMINISTRATOR

The Child Welfare Administrator shall:

· Attend any relevant Child Protection courses.
· Take the lead role in any issues relating to Child Protection, and to advise the Club of its’ responsibilities.
· Identify a recruitment procedure, and oversee Club Staff criminal record checks via the FA’s CRB process.
· Identify training needs for relevant Club Staff in relation to Child Protection.
· Maintain records of relevant Club Staff details & correspondence, applying due confidentiality.
· Promote awareness within the Club for it’s Child Protection Policy and monitor it’s effectiveness.
· Produce a report to the Committee, if unable to attend, send a written report with apologies to the Meetings Secretary.
· Act as first contact in club matters of Child Protection concern.

MEETINGS SECRETARY

The Meetings Secretary Shall: -

· Liase with the Chairman on the Agenda and Minutes for each meeting before they are circulated.
· Arrange a suitable venue for the meeting.
· Be available to minute each meeting.
· Take lead role in the arranging of the Clubs’ Annual General Meeting by:-
Sending a letter to all Members (via the Club Newsletter & website) requesting that any proposed alteration to the Club Constitution, that any Member wishes to make at the Annual General Meeting of that year, returns must be sent to the Meetings Secretary twenty eight days before the Meeting.
Arrange the venue and circulate details of the AGM to all Club Staff and Members (and Parents).
Prepare the Annual Report to be submitted to the Annual General Meeting. Minute such meeting.

CLUB TREASURER
The Treasurer shall: -

· Be responsible for the management of the Club's finances in accordance with the decisions of the Committee and have the right to query any expenditure.
· Recommend action on financial matters to the Committee.
· To ensure that all monies due to and from the Club are settled by any date requested.
· Present a written financial report to all meetings of the Committee.
· Present an Annual Report and an Audited Balance Sheet at the Club's Annual General Meeting. Recommend a bank and, if necessary, other organisations for the deposit of monies and recommend the auditors.
· Be responsible for all monies belonging to the Club.
· Request and receive Club monies from the members of the Club.
· Make arrangements with the Senior Coach for the control of monies for the Squad including, fees and expense payments, etc.
· Be available to attend any other meetings in an advisory capacity.
· Disburse monies upon the order of the Committee as follows: -
· Petty cash to Officers & Committee Members
· Gratuities
· Honorarium
· Payment for facilities
· Maintain and renew appropriate insurance policies as necessary.
· If unable to attend Committee Meetings ensure that a written report is sent with apologies to the Meetings Secretary.


SENIOR COACH

The Senior Coach shall: -

· Be responsible, and make recommendations for Coaching within the Club.
· Take lead role in the procurement of resources in support of the Club’s Development Plan, and keep an inventory of Club equipment and property.
· Be responsible for the implementation of the coaching aspects of the Club's Development Plan including other Coaches.
· Arrange or liase with the FA for the training of coaches in preparation for FA coaching awards, and submit candidates for testing on FA coaching awards.
· Take lead role in recruitment & appointment of Coaches.
· Liase with the Treasurer over fees, expenses and other monies.
· Maintain an up-to-date record of all Coaches in the Club.
· Produce estimates of future coaching courses to assist in financial planning, taking into account all sources of finance.
· Produce a written report at the Committee Meetings. If unable to attend, send it with apologies to the Meetings Secretary.
· Be responsible and make recommendations for club staff to attend refereeing courses within the Club.
· Maintain a record of relevant details for all Club Members.

PROMOTIONS OFFICER

The Promotions Officer shall: -

· Be responsible for publicising the Club, its events, achievements, and members through the media.
· Liase with Club Staff, in promoting the Club.
· Maintain a list of local media contacts and liase with the Events Co-ordinator over forthcoming Club functions.
· Produce news releases of any Club events and produce articles as relevant.
· Send results and anything else of interest to local press as relevant.
· Invite the media/press to Club events.
· Keep a record of press cuttings, radio mentions and T.V. programmes.
· If unable to attend the Committee Meeting, send apologies and a written report to the Meetings Secretary.
· Produce the club’s newsletter at regular monthly intervals, or as and when advised by the Club’s Executive Committee. Liase with Website Manager over contents and updates of information therein.
· Maintain a historical and up to date record of the Club’s achievements, results, and events, etc.

EVENTS CO-ORINATOR

The Events Co-ordinator shall: -

· Take lead role in the planning and organising of an agreed programme of Club social events.
· Liase with various other Club Staff in order to support and promote the objectives and requirements of the programme.
· Produce a progress report to all meetings of the Committee. If unable to attend, send a written report with apologies to the Meetings Secretary.
· Provide the Treasurer with a statement on finances relating to any event held.


TEAM AND ASSISTANT COACHES

The Coaches shall: -

· All Coaches must assist the Senior Coach in implementing the Clubs Development Plan, coaching sessions, and fixtures, in accordance with Club, League, and FA directives.
· Team Coaches shall be responsible for all team affairs to include items such as; notification as relevant of fixture & referee confirmations/cancellations, team selection & recruitment, collection of fees and other monies due, team kit & equipment, matchday correspondence, team reports, news & website updates, team training & coaching sessions, venues, and directions etc.
· Asst. Coaches shall assist Team Coaches with the above as directed.
· All Coaches should attend any appropriate FA courses as may be agreed.

COMMITTEE MEMBERS & VOLUNTEER ASSISTANTS

The Committee Members & Volunteer Assistants shall: -

· Assist the Club, its Staff, and Members in achieving aims and objectives as may be agreed.
· To undertake any duties on behalf of the Club as may be agreed.


CLUB WEBSITE MANAGER

The Website Manager Shall:-

· Maintain the Club’s website on behalf of the Club, in accordance with Club policies and practices.
· Liase with relevant Club Staff over contents therein.

MATCH DAY PROGRAMME EDITOR

The Match Day Programme Editor shall: -

· Produce a match day programme for all competitive home games.
· Consult with visiting teams/officials over details for contents therein.
· Consult with ‘home’ Club Officials over details for contents therein.
· Provide appropriate ‘lucky programme’ prizes and arrange sale of match day programmes, as necessary, and forward monies raised through programme sales to Club Treasurer.
